QR codes went from novelty to everyday tool almost overnight. Restaurants use them for menus, shops for payments and reviews, events for tickets and schedules. Creating one takes seconds — but creating one that scans reliably for everyone, from a phone at arm's length to a camera across a room, takes a little know-how.
How a QR code works
QR stands for “Quick Response”. The code was invented in 1994 by the Japanese company Denso Wave to track car parts. Each black or white square, called a module, represents a bit of data. The three large squares in the corners are finder patterns that tell the scanner where the code is and which way up it is. The code also contains extra information for error correction, so it can still be read when part of it is damaged or dirty.
Static vs dynamic QR codes
This distinction matters more than anything else when choosing a generator.
- Static QR codes store your data — a URL, Wi-Fi details, a phone number — directly in the pattern. They work forever, need no account and cannot be switched off by anyone. The downside is that you cannot change the content after printing.
- Dynamic QR codes store a short link to the provider's server, which then redirects to your destination. You can change the destination and see scan statistics, but the code depends on that provider. If the subscription ends or the company closes, every printed code stops working.
Our QR Code Generator creates static codes. If you want the flexibility to change the destination later, a simple trick is to point the code at a page on your own website (for example yoursite.com/menu) and update that page whenever you need.
Tip 1: Keep the data short
The more characters you encode, the more modules the code needs, and the smaller and harder to scan each module becomes. Use short, clean URLs and avoid long tracking parameters where possible.
Tip 2: Size for the scanning distance
A widely used rule of thumb is that the code's width should be at least one-tenth of the scanning distance:
| Where it's used | Typical distance | Minimum size |
|---|---|---|
| Business card, product label | 15–25 cm | 2–2.5 cm |
| Flyer or table menu | 30–50 cm | 3–5 cm |
| Poster on a wall | 1–2 m | 10–20 cm |
| Window or banner | 3–5 m | 30–50 cm |
For print, download the SVG version, which stays perfectly sharp at any size.
Tip 3: Contrast is everything
Scanners look for dark modules on a light background. You can use brand colours, but keep the foreground clearly darker than the background. Navy on white works; yellow on white, or white on black, often fails on some phones. Avoid placing codes on busy photos or patterned backgrounds.
Tip 4: Respect the quiet zone
A QR code needs an empty margin around it — at least four modules wide — so the scanner can tell where it starts. Our generator adds this automatically. Do not let designers crop it off or place text right up against the edges.
Tip 5: Choose the right error correction
There are four levels: L (about 7% of the code can be damaged), M (15%), Q (25%) and H (30%). Medium is a good default. Choose Q or H for codes printed on surfaces that may get scratched, wet or dirty, or if you plan to place a small logo in the middle.
Tip 6: Tell people what they get
A bare QR code is easy to ignore. Add a short call to action next to it, such as “Scan to see today's menu” or “Scan to join our Wi-Fi”. People are more likely to scan when they know what will happen.
Tip 7: Test before you print
Scan the final design with at least two different phones, from the distance people will actually use, and in the lighting where it will be displayed. Check that the link opens the right page and that the page works well on mobile.
Staying safe with QR codes
Because a QR code hides its destination, criminals sometimes stick fake codes over real ones on parking meters or posters. As a scanner, check the preview link your camera shows before opening it. As a business, inspect your public codes regularly.
